Privacy Policy

This policy explains what information TotyApp collects, how we use it, and the choices you have. We keep it plain: we collect what we need to run your team, and we don't sell your data.

Information we collect

• Account details — your name and email address. TotyApp uses passwordless sign-in: we email you a one-time code or link, so we never store a password.
• Team data you provide — the teams, schedules, rosters, events, RSVPs, assignments, and chat messages you and your team create in the app.
• Usage & device information — basic technical data such as IP address, browser or device type, and app activity, used to keep the service secure and reliable.
• Billing details (paid plans only) — if your team subscribes to a paid plan, our payment processor collects and handles your payment information to process the charge. We receive confirmation and basic subscription details, but we never see or store your full card number.
• Cookies — an essential cookie keeps you signed in to the app. Our marketing website (totyapp.com) also uses Google Analytics cookies to measure visits (see Analytics below). We don't use cookies for advertising.

How we use your information

• To provide and operate TotyApp — your schedules, RSVPs, rosters, and chat.
• To send transactional email such as sign-in codes and invites.
• To keep the service secure, prevent abuse, and fix problems.
• To improve TotyApp and understand how it's used, in aggregate.

Analytics

Our marketing website (totyapp.com) uses Google Analytics 4 to understand how visitors find and use the site — pages viewed, approximate location, device, and clicks through to the app. It sets first-party cookies (_ga, _ga_*) and shares this usage data with Google as our analytics provider. We don't use it for advertising, and the in-app product itself does not run Google Analytics. You can opt out site-wide with Google's opt-out browser add-on.

How information is shared

Team data is visible to the members of that team — that's the point of a shared team app. Beyond that, we share information only with:

• Service providers that help us run TotyApp — for example email delivery (SendGrid/Twilio), cloud hosting (Google Cloud), and, for paid plans, payment processing — under agreements that limit their use of your data to providing those services.
• Legal requirements — when we're required by law, or to protect the rights, safety, and security of our users and the service.

We do not sell your personal information.

Children's privacy

TotyApp is designed for coaches, team managers, and parents — adults who organize teams. Accounts are intended for users 13 and older. Where a team includes minors, a parent, guardian, or coach manages their participation and the information associated with them. We don't knowingly collect personal information directly from children under 13; if you believe a child has provided us information directly, contact us and we'll remove it.

Data retention & your choices

We keep your information while your account and teams are active. You can request to access, correct, or delete your data, and deleting a team or account removes its data after a short grace period. To make a request, email privacy@totyapp.com.

Security

We protect your information with encryption in transit, access controls, and a database that isn't exposed to the public internet. No system is perfectly secure, but we work to keep your data safe and to respond quickly if something goes wrong.

Changes to this policy

We may update this policy as TotyApp evolves. When we make material changes, we'll update the date above and, where appropriate, notify you in the app or by email.
